Quickbooks Desktop Integration
Details
Key Features:
- Invoice Exporting: Easily transfer completed jobs from My Shop Assist into QuickBooks Desktop as detailed invoices, including line items for parts and labor.
- Customer Syncing: Automatically create or update customer records in QuickBooks Desktop based on the data entered in MSA.
- Line Item Details: Sync individual tasks and parts from MSA directly to invoice line items in QuickBooks, preserving descriptions, quantities, and pricing.
- Sales Tax Handling: Apply appropriate sales tax codes from QuickBooks Desktop to ensure proper tax calculations and reporting.
- Item Mapping: Assign specific QuickBooks item names and accounts to MSA categories (like parts, labor, sublets, etc.) for accurate financial tracking.
- Progress Billing: Export just a date range of an MSA Job to Quickbooks as a unique invoice. This is great for large projects that take a long time to complete.
- Ongoing Support: While QuickBooks Online has become more popular, we continue to support the Desktop version with periodic updates to maintain compatibility with new QuickBooks releases.
- Error Handling: In the latest update of our QBD integration, we greatly improved the error handling when an export wont go through to QB. This helps you solve the problems easier without needing external support.

The key difference between the quickbooks online and desktop integrations is that the desktop syncing is always done manually. You need to trigger the sync through the WebConnector for the data to move from MSA to QB. In the Quickbooks Online version, customers, parts and services are all synced automatically and instantly, not requiring a triggered sync like the WebConnector. For Both versions, we dont sync invoices until you are ready to do so. This way your accounting isnt constantly in a state of flux as invoices can change by the minute in MSA.
The QuickBooks Desktop integration with My Shop Assist provides powerful syncing capabilities to help shops manage their accounting more efficiently. Designed to reduce manual data entry and improve accuracy, this integration allows key information to flow between your shop management system and QuickBooks Desktop. QuickBooks Desktop integrations are all done through the Quickbooks WebConnector, a tool that comes with all the Desktop versions of QuickBooks.
